Last week Google launched Gemini Enterprise and although I see very few people talking about it, I think this tool will likely be used by most businesses.
There are two features that make it extremely useful:
1) You can use Gemini across your Google Docs, Calendar and Gmail.
2) You can create Agents that your entire team can use.
You can access Gemini Enterprise here. I chose the Gemini Business plan as I am a business of one. My first question was whether it makes sense to use Gemini Business if you already use Gemini Advanced. It does seem that there are benefits to using Gemini Business as I will share below.
The Enterprise version gives you a higher quota which makes sense if you have a large team. However, teams of up to 300 can use Gemini Business. Gemini Enterprise also gives you the option to bring in your own agents which are created using Google’s Agent Development Kit and has other developer focused features like Gemini Code Assist.
Once you're signed up you can get to Gemini for Business by going to business.gemini.google. (It took me far too long to figure that out!)
Connecting with your data
At this point you can choose to connect with your Calendar, Gmail and Google Drive. There are also other options you may choose such as Jira, OneDrive, Outlook and Sharepoint.
Connecting with Google Drive
You can ask questions about specific documents or ask Gemini to find information in your Google Drive.
Even more interesting is how you can use this for client work.
I do my client calls with Google Meet. These are automatically stored to your Google Drive. I asked Gemini,
“I am doing some work this week for [clientname]. Find our recent conversations, in particular the parts where we compared content against competitors. List all of the observations we had.”
It pulled out a number of observations that we had on our call, which made me realize I can turn these into an Agent.
But first, let me share how Gemini completely blew me away with this conversation. At the end of the observations Gemini noted that I had told the client I would research what specific type of content from competitors was gaining links. I had forgotten about that!
So I asked Gemini to clarify.
“Would you like me to start that research now?” I mean, how is Gemini going to know what a site’s backlink profile is? I was thinking I was going to use the Ahrefs MCP to do this research. But then Gemini provided me with an excellent answer which unfortunately I can’t share for confidentiality reasons. It made a chart with two competitors, listing some of their content and the authoritative sites linking to it, and pointing out that one competitor made specific tools that gain links. Another is heavily using digital PR and influencers and another has created “best-of” guides that are doing really well.
From what I can see, this information is accurate. I don’t think Gemini looked up the backlink profiles, I think it just has a load of knowledge about the web and so it makes sense that it can surface interesting insight.
This one prompt alone saved me probably two hours of research time for this client.
Creating Agents
The Agent Gallery in Gemini business is slick. You can use Google’s pre-made agents, which for me showed just deep research, and also you can create your own.
Let’s start with Deep Research.
Deep Research within Gemini Business
I am a big fan of Deep Research. What truly amazes me about this feature within Gemini Business is that I can do deep research across my own Google Drive.
This is a long prompt, but I wanted to share how helpful it was when it came to helping me write an article. I shared what I wanted to write about and then asked Gemini to help me by doing deep research.
Gemini put a deep research plan together:
The result of this prompt was very, very good. I will be using this as the draft for what I put in my notes (for paid subscribers) this week.
Creating your own agents
From what I can see, Agents within Gemini business are Gems. However, you can also string Gems together in a flow. I’m still learning what we can do here.
There are two ways you can create an agent. First, you can just describe in natural language what you want to create.
Let’s try one. I babbled on to the Agent Designer about what I wanted to create.
Gemini turned my rambling into a good prompt. It created a “Flow” which is the second way to create agents - although in this case, there’s only one agent in the flow.
Now I have an agent that helps me analyze content that appears in AI Mode and strategize on improving my own content so that it is more likely to appear there.
However, it didn’t work as I wanted. It was good - but didn’t follow all the steps. I will play with creating more agents in the flow and see how that works. Still, I can see great value in these agents.
This agent did indeed give me great ideas for improving my page.
I don't see a way to share Agents outside of my workspace, but I will create this as a Gemini Gem and share it in my notes this week.
Email agents
I have not been impressed with Gemini in Gmail but the Agents you can create to help you sort through email look quite good.
This prompt showed me which emails were financial, potential leads and which Amazon orders are coming and more:
You can ask it to go through specific tabs, like “summarize my updates tab” or “tell me which emails I got that are likely spam”. However, you cannot use the agent to take actions like delete those emails.
This is a powerful tool
I really think I’ve just scratched the surface so far. This suite of tools looks to be quite helpful.
Gemini gave me a table. I asked, “Instead of a table, please write each as an h3 followed by the answer.”
So here you go!
What is the Gemini Business plan?
The Gemini Business plan is a paid add-on for most Google Workspace plans. It costs $20 per user, per month (with an annual commitment) and is designed for teams and organizations of all sizes. It unlocks the full suite of Gemini AI capabilities within your Workspace apps (Docs, Sheets, Gmail, etc.) and provides higher usage limits than the free or lower-tiered versions.
What security and privacy guarantees come with the Gemini Business plan?
When you subscribe to the Gemini Business plan, your data is protected by the same enterprise-grade security that governs all of Google Workspace. Critically, none of your prompts or company data are used to train Google's public models, and your data is not reviewed by humans. This ensures your internal information remains confidential. Note from Marie - if you sign up for the 30 day free trial, apparently your data is indeed used for training. I don’t think this means that you are exposing your business info to the world, but rather, Google can look at your usage and learn and improve how well the models are working. I do not know this for sure though.
As a business, why choose the Gemini Business plan over Microsoft 365 Copilot?
The decision typically comes down to your company's existing ecosystem. The Gemini Business plan is deeply integrated into the Google Workspace suite. If your team already collaborates heavily in Docs, Sheets, and Gmail, Gemini will feel like a natural extension of your workflow. Conversely, if your organization is built on Microsoft 365, Copilot would be the more seamless choice.
Are there usage limits or other limitations with the Gemini Business plan?
Yes, while Google states the usage limits are "generous" and sufficient for most business needs, the plan does not offer unlimited use. Specific numbers are not published, but the limits are significantly higher than free versions. Other limitations are tied to the technology itself; for instance, there are character count limits for prompts in Google Docs and row limits for analysis in Google Sheets. It's also worth noting that the performance and utility of Gemini can vary between the different Workspace applications.
What can my team actually do with the Gemini Business plan?
This plan unlocks a wide array of capabilities to boost productivity. You can use it to:
- Draft and refine documents in Google Docs.
- Summarize long email threads in Gmail.
- Generate custom backgrounds and take enhanced notes in Google Meet.
- Create project plans and track tasks in Google Sheets.
- Brainstorm marketing copy and build presentation outlines in Google Slides.
The goal is to accelerate everyday tasks and creative processes that would otherwise consume significant time.
What's next?
I think that every business will want to use Gemini for business - especially if you currently work within the Google ecosystem with files in Google docs. I think there is more to come. I would eventually like to see us be able to connect with MCP to our own agents, and I'd like to be able to create agents in Gemini for business and sell them or make them available via Google's Agent 2 Agent protocol. I think we will see that in the future.
